GDPR Compliance

Zynstra has undertaken a thorough review of our internal business practices and data processing activities. We have created and proactively maintain a complete data register of all of our systems that process data. We have also updated our lead generation practices to conform to the new requirements.

Whenever Zynstra processes data we make sure that best practices are followed, we;

collect and process appropriate information only to the extent that it is needed to fulfil our operational needs or to comply with any legal requirements;

verify the quality of any information we use;

regularly audit our records to guarantee that the information is held for no longer than is necessary;

ensure that the rights of data subjects about whom information is held can be fully exercised under UK, US and EU legislation as well as in compliance with any local laws regarding data storage and processing;

ensure that the data sovereignty of our customers information is protected and never transfer data to another jurisdiction without guaranteeing that the destination territories meet GDPR standards.

Our technical safeguards are first class. Zynstra is proud to say we’re a Level 1 PCI DSS Service provider. This means that our technology and processes meet the rigorous security standards required by the payment card industry.

Furthermore, members of Zynstra’s team throughout the company meet at least once a quarter to review our data protection obligations and ensure that we’re always conforming to best practices.

What personal data do we collect?

When you engage with Zynstra we may ask you for information about you to enable us to stay in contact.

The types of data we collect are:

Your name, job title, email address and phone number.

Your company’s name and industry.

How do we collect this information?

Zynstra collects information from in a few ways:

Entering your information directly through our website or over the phone to one of our team members.

By contacting one of our resellers or distribution partners who has passed your data to us.

Your data may have been provided to us by one of our lead generation partners or event coordinators who thinks that we may have mutual business opportunities.

What do we do with your information?

Any information we collect about you, from whatever source, is used to make sure we’re providing the best possible experience for you as a customer, partner or just someone interested in what we’re doing. We process data for several reasons:

Personalising content, business information and product news based on your company and role.

Providing you with requested demos, meetings and event information.

Delivering marketing content.

Carrying out surveys and research.

Providing our products and services to you.

Legal obligations.

For clarity, Zynstra will never:

Share your business data or meta data with third parties other than your contracted service provider partner.

Monitor or collect your data, meta data or behaviour in order to sell to advertising data service firms.

Decode your encrypted data without you explicit permission and your active participation.

  • Consent – you may have opted in to receive information about Zynstra products, events and industry news. You are free to opt out at any time, either by clicking unsubscribe at the bottom of one of our emails, telling us by phone at 0333 355 0754 or emailing us at
  • Legitimate Interest – we may have reached out to you because your details were passed to us by one of our partners or, a colleague may have recommended we speak to you. If you think this is a mistake or you’re simply not interested in hearing from us that’s no problem, just let us know using one of the methods above and we’ll stop contacting you immediately.
  • Contractual – your company is an existing partner, customer or other business involved with us in an existing contractual relationship. In this case we may need to contact you as part of the services we provide.

In addition to the measures outlined above, Zynstra is also committed to supporting customers who hold particularly sensitive or regulated data, please contact us if you are a prospective customer who is planning to store Personal Health Information (PHI) on our systems and would like to discuss any compliance standards you need us to adhere to.  For example, if you are a US Health Insurance Portability and Accountability Act (HIPAA) covered entity and need us to sign up to a Business Associate Agreement.
